Overview:


Given the current national priority for electronic health record implementation, HRSA grantees are encouraged to implement or upgrade their electronic system to track or share patient health information. HRSA's Office of Health Information Technology (OHIT) has engaged regional health centers across the country to facilitate 2-day workshops providing HRSA grantees a forum to further review and discuss health information technology implementation, its applications, interventions and lessons learned among HRSA grantees.

The City of Paterson - Ryan White Grants Division (RWO) is a HRSA HIV/AIDS Bureau (HAB) grantee located in northern New Jersey. As the only HAB grantee to co-host an OHIT Workshop in 2009, the RWO will engage its audience on lessons learned in its' implementation and integration of Health Information Technology in the delivery and management of HIV care. The RWO has pioneered a secure, web-based tracking of patient health information, involving multiple aspects of care from grants management activities, utilization/cost data tracking, to outcomes measurement and assessments. The RWO has been using electronic interactive reporting and visual analytics to produce quantifiable benefits for the past seven years. Over the last two years the RWO has participated in two HRSA - SPNS (Special Projects of National Significance) initiatives to enhance its collection and exchange of health information among its HIV Network of Care.

Workshop Topics:



  • Health Information Technology planning and implementation.
  • Stakeholder Engagement process that supports the use of electronic tools to monitor and enhance delivery of care.
  • Systems Readiness & IT Adoption activities that involve diverse perspectives and unique needs.
  • Use of electronic Tools & Client Level Data to strategically improve outcomes and ensure acceptance.
  • Data Mining & Data Exchange to measure clinical performance outcome, monitor Plan-Do-Study-Act improvement projects, and to facilitate health planning activities.
  • Promotion of Patient Feedback using electronic tools to assess needs and service satisfaction among diverse populations and those with low-literacy skills.
  • Measuring Success & Telling the Story using interactive electronic reporting tools.

Target Audience:

  • A HRSA-funded grantee or sub-grantee from all regions.
  • Ryan White HIV AIDS Bureau (HAB) grantees are Priority Audience.
  • A HRSA grantee planning to implement health information technology in the next 6 - 12 months.
  • A HRSA grantee who plans to expand their health information systems to capture client level data, service utilization and/or clinical performance measures in the next 6 – 12 months.

The process for registration and payment will be handled as follows:
  1. Complete the on-line registration by clicking here.
  2. You will be notified regarding acceptance of your registration via email.
  3. As applicable, you will be notified regarding acceptance of your scholarship request (see information below).
  4. Upon approval you will be notified by OHIT2009@AIDSNJ.org to contact the hotel to arrange for accommodations and payment of registration.
  5. For those who do not require hotel accommodations, please process payment for registration by the deadline. Please send certified or company check made payable to: City of Paterson

Hotel and Workshop Registration deadline is August 26.

Please do not contact hotel for your accommodations until you are notified by the RWO that your application has been approved.
You will be given a guest code upon acceptance of your application to give to the hotel.

Cost of workshop is $250 per person. Payment of registration shall be made directly to Hotel once room is reserved. Registration deadline is August 26.


Hotel General Information:

The Don CeSar Resort & Spa is located on St. Pete's Beach in Florida. The 250 room facility offers free parking and free Internet in the rooms.

A discounted group rate of $104 per night (single occupancy) plus tax has been secured for workshop participants at The Don CeSar www.doncesar.com. The Don CeSar is a beachfront luxury hotel with full-service spa and 24-hour fitness center. Free self-parking and free guest-room wireless Internet access.

Note: Workshop Registration must be approved before hotel registration is confirmed.

For your convenience, the RWO has requested the same discounted rate for additional nights that may be needed before and/or after the Workshop.

Note that the hotel will require payment for a one-night charge plus workshop registration fee to reserve and secure accommodations. Hotel and registration cancellation policy is three-days prior to arrival.


Meals:

All planned meals (breakfast, lunch and dinner) are included in the cost of registration. Kindly advise of any special needs in the registration comments/request section.


Airport:

There are two major airports in the region - Tampa International and St. Pete/Clearwater Regional.

You will need to arrange for transport services (taxi or shuttles) to/from the airport.

Scholarship Critieria:

A few scholarships will be awarded to eligible applicants (waiver of $250 registration fee). Eligible applicants are those agencies who receive grant funds from the HRSA Ryan White HIV AIDS Bureau.

Eligible applicants must submit a brief summary of their institution's plans to implement or enhance its health information systems over the next six months using the online Registration Form here. Click the “Check here if Scholarship is being requested to cover registration fees (see instructions)" checkbox and fill out the following three sections:

  • Description of Institution – Ryan White affiliation, including program officer
  • Current management of health information
  • Health Information Technology Goals

Approval of scholarship is not a guarantee for attendance. Space of workshop and scholarship is very limited.

The OHIT Workshop is scheduled for two- full day sessions from 9:00 to 5:00 PM.

On Sept 3, there is a reception at 5:30 PM followed by a dinner at 7pm that has been arranged for participants.
